Your Role (and Impact)

As Executive Project Analyst, you'll work directly with our CEO and Chief of Staff to streamline operations, track top-priority initiatives, and ensure our executive office runs with clarity, rhythm, and strategic alignment.

This is a hybrid role based in Pittsburgh, PA, with flexibility to work remotely—but in-person availability in Sewickley is required when the CEO is in town.

You will:

  • Manage the CEO's calendar, inbox, travel, and meeting logistics—prioritizing time against strategic goals.
  • Prepare agendas, materials, and follow-ups for leadership meetings—driving clarity and accountability.
  • Support strategic initiatives (e.g., M&A, board prep, internal systems) with research, coordination, and execution.
  • Build and manage dashboards, trackers, and summaries to surface insights and keep projects on course.
  • Partner with the Chief of Staff to keep leadership aligned on high-priority goals and deliverables.
  • Maintain clear documentation and knowledge systems—creating order from complexity.
  • Leverage AI tools and automation to drive efficiency and scale your impact.

Must-Have Experience:

  • 3+ years in executive support, project coordination, operations, or an analytical role.
  • Strong organizational instincts, attention to detail, and high ownership mindset.
  • Excellent written and verbal communication skills.
  • Tech-forward, systems-minded, and adaptable to new tools.
  • Proven ability to manage shifting priorities and juggle cross-functional work.
  • Based in the Pittsburgh region with ability to work onsite in Sewickley as needed.
  • Bachelor's degree in Business, Communications, or a related field (or equivalent experience).

Preferred Experience:

  • Experience in a high-growth, entrepreneurial, or agency environment.
  • Familiarity with board-level reporting, M&A, or executive thought leadership.
  • Project management certifications (e.g., PMP, Lean Six Sigma).
  • AI-savvy and comfortable with tools like ChatGPT, Perplexity, Notion AI, etc.
